  • Overview

    The Admissions Coordinator coordinates all client admissions sourced by the Delphi Intake Department or approved referring programs. The Admissions Coordinator assists with the complete admission process at Ocean Breeze Recovery. This role is responsible for maintaining the census balance between admissions and discharges

    Responsibilities

    Conduct telephone conversations in a friendly and professional manner.

    ● Provide accurate admission and program information to prospective clients, referrals and families as needed

    ● Maintain a balanced census by coordinating all discharges with the clinical staff as well as the available bed space

    ● Responsible for creating the new client’s chart in Kipu Electronic Medical Record (EMR) and assigning medical record number (MR#)

    ● Maintain appropriate boundaries and ethical behavior at all times with clients, families and other professionals

    ● Maintain after-hours availability for admission and/or referent inquiries

    ● Maintain strict client confidentiality

    ● Complete all intake paperwork required upon admission to the program and enter data into EMR

    ● Participate in weekly calls with Utilization Review Dept. and Delphi Admissions Dept. to coordinate clinical need with insurance coverage

    ● Maintain current client level list in the calendar

    ● Maintain documentation in an organized manner

    ● Promote and maintain customer satisfaction

    ● Clearly and accurately communicate with supervisors and co-workers in a timely manner ● Cooperate and work well (effectively solve problems) with all employees

    ● Make copies, send email and faxes as needed

    ● Other duties as delegated and assigned

    ● Work cooperatively with a multi-disciplinary team and build relationships for efficient work flow

    ● Complete documentation and paperwork in a timely manner

    ● Take guidance and direction from supervisors

    Qualifications

    Knowledge, Skills and Abilities Required:

    ● Excellent computer skills, including Word, Excel, PowerPoint

    ● Effective oral and written communication skills

    ● Excellent interpersonal skills.

    ● Skills in database management

    ● Able to exhibit a high level of confidentiality and knowledge in relative Patient Confidentiality Laws

    ● Knowledge of drug-free workplace policies

    ● Knowledge of de-escalation techniques and awareness of workplace violence

    ● Excellent organizational skills

    ● Must be able to identify and resolve problems in a timely manner. Critical thinking skills are necessary. Computer Equipment and Software Requirements:

    ● Microsoft Word, Excel, Outlook, PowerPoint
