  • Overview

    General Purpose of the Position

    The Receptionist serves to greet visitors, welcoming and directing them appropriately.  The Receptionist also provides assistance by coordinating office services such as greeting prospective clients, answering phones, providing general business support and other projects as assigned. This role is also responsible for a variety of administrative assistant duties to include, filing, sorting and distribution of mail, ordering supplies, managing all forms of communication to include fax, phone calls, emails, etc. A large part of the facility’s front of house operational effectiveness is reliant upon the performance of the Receptionist / Business Office Assistant


    Physical Responsibilities

    • Greets, assists, and directs clients, employees, candidates, vendors (and all other visitors)
    • Ability to manage multi-line phones in a friendly, professional manner, directs calls to appropriate extension, takes messages, or places caller into voicemail (as appropriate)
    • Possesses  familiarity with all staff members and relative business units to effectively handle inquiries
    • Ensure a safe and clean reception area by complying with procedures, rules and regulations.
    • Maintain security by monitoring logbook, notifying company personnel of visitor arrivals, etc.
    • Have clear communication with supervisors and co-workers
    • Maintain appropriate boundaries and ethical behavior at all times with clients, families and other professionals.
    • Understands HIPAA regulation and maintains strict client confidentiality
    • Provide general management and support of client needs
    • Participate in staff meetings as needed
    • Make copies, send email and faxes as needed
    • Maintain customer satisfaction
    • Maintains documentation and files in an organized manner
    • Other duties as assigned by supervisor and/or other management.
    • Responsible for coordinating all in and outbound mail to include: collecting, sorting, and distributing mail, packages, live paychecks, deliveries, etc. to appropriate party (including other Delphi facilities as necessary)
    • Acts as a liaison to Maintenance / Safety team to report and coordinate all maintenance and/or safety issues
    • Maintain sundry to include shopping, pricing, and inventory maintenance
    • Work with vendors for supply procurement (pricing and ordering)
    • Provides administrative services to the Business Office Manager to include (but not limited to) - scanning and uploading insurance correspondence and Company deposits, preparing of postage, purchase orders, supplies, and Accounts Payable uploads


    Essential Skills:

    • A minimum of 1 year experience in administrative office setting
    • Ability to multi-task, presents professionalism, & maintains customer focus.
    • Work as a team member
    • General knowledge of Microsoft Office to include Word, Excel, Ppt (and other relevant email systems)
    • Willingness and ability to learn new systems and technological applications
    • Demonstrates Proficiency in Verbal & Written Communication Skills
    • Knowledge of Patient Confidentiality Laws
    • Knowledge of Drug-Free Workplace Policies
    • Knowledge of Workplace Violence
